대학 내 조직과 협력을 통한 대학기록관 활성화 방안 연구 : 명지대학교 사례를 중심으로

국문 초록 (Abstract)

우리나라의 대학은 현대 사회에서 차지하는 존재감과 그동안의 성장에 비해, 체계적으로 스스로를 돌아보기는 어렵다. 대학기관에서 대학기록관 운영 및 대학기록관리에 대한 인식이 부족하기 때문이다. 공공기록물 관리에 관한 법률이 개정되고, 대학기록관의 수는 증가하였지만, 여전히 대학 구성원의 인식, 대학기록관의 역할 등 활성화 부분은 부족하다. 이러한 현실 속에서 연구자는 대학기록관 자원의 특성과 현대 사회에서 다양한 분야와 산업간 협력을 통해 시너지를 추구하는 사례, 그리고 대학 관련 사회적 이슈에 따른 대학조직 개편의 필요성 등을 종합적으로 고려하여, 대학기록관과 대학 내 조직의 협력을 통한 대학기록관 활성화 연구가 필요하다 판단했다.
이에 연구 목적을 대학기록관과 대학 내 조직의 협력을 통한 대학기록관 활성화 방안 제시로 설정하고, 세부 연구 목표는 다음과 같이 설정했다. 첫째, 대학기록관과 대학 내 조직의 협력 사례 확인하고, 다양한 협력 가능성을 분석한다. 둘째, 대학기록관 활성화를 위한 업무 분야별 대학기록관과 대학 내 조직과의 협력 방안을 제시한다. 셋째, 대학기록관과 대학 내의 적절한 조직과의 협력 체계 구축 및 확장 서비스 방안을 제시한다.
이를 위해 이 연구에서는 대학기록관 관련 연구와 대학기록관과 대학 내 조직의 협력 사례, 복합문화공간 및 라키비움의 융합 사례를 분석했다. 대학기록관과 대학 내 조직의 협력 사례 분석에서는 대학기록관과 대학도서관, 대학박물관, 대학 본부, 총학생회, 총동문회, 학부 및 학과 등과의 협력 사례를 수집 분야, 전산화 분야, 공간 분야, 서비스 분야로 구분하여 분석했다. 이를 통해 대학기록관이 대학 내 조직과 각 분야에서 어떤 협력을 진행하며, 협력을 통해 어떤 효과를 거두고 있는지 파악하며 시사점을 도출했다. 복합문화공간 및 라키비움의 융합 사례 분석을 통해서는 융합된 기관은 어떤 공간 구성을 갖추며, 그 속에서 기록관은 어떤 역할을 수행하고 있는지 파악했다. 그리고 명지대학교 대학사료실 및 명지대학교 내 조직의 협력 사례를 종합적으로 고려해 명지대학교 대학사료실과 대학 내 일부 조직과의 협력 가능성을 파악했다.
대학기록관 관련 연구와 협력 및 융합 사례 분석, 명지대학교 대학사료실의 협력 가능성 분석을 통해 도출한 내용을 종합적으로 고려하여, 장점은 극대화하고, 아쉬운 점은 보완하는 명지대학교 대학사료실과 대학 내 조직의 협력 및 활성화 방안을 제안했다. 대학사료실 활성화를 위한 업무 분야별 협력 방안은 다음과 같다. 수집 분야에서는 규정에 자료 교류 및 협력을 명문화하고, 적극적으로 찾아가는 수집 활동을 진행해야 한다. 전산화 분야에서는 규정에 기록관리 관련 전산화 부분을 명문화하고, 전산화를 수행하며, 이용자의 온라인 접근성을 높여야 한다. 공간 분야에서는 대학 공간을 효율적으로 활용하며, 상업 공간·휴식 공간·메이커스페이스 등을 포함하는 복합공간을 추구해야 한다. 서비스 분야에서는 대학도서관의 이용자 교육 및 비교과 프로그램이나 대학의 필수 이수 과목인 채플 등과 연계한 서비스를 기획해야 한다.
대학 내 조직별 협력 체계 구축 및 확장 서비스 방안으로는 대학도서관, 대학박물관, 총학생회, 총동문회, 대학 본부 등 대학조직에 대학사료실이 먼저 적극적으로 다가가고, 지원하며 관계를 형성해야 함을 강조했다. 그리고 나아가 해당 대학조직의 기존 프로그램, 행사, 기능 등을 활용·연계하는 확장 서비스 방안을 제안했다.

연구를 통해 제안한 내용은 명지대학교 사례를 중심으로 진행했기 때문에, 모든 대학기록관에 일괄적으로 적용하기 어렵다는 한계가 있다. 하지만, 오늘날 다양한 협력이 이루어지며, 협력의 필요성과 중요성이 부각되는 시점에서 대학기록관과 대학 내 조직의 다양한 협력 사례를 정리하고, 협력에 초점을 맞춰 개선방안 및 협력 방안, 확장 서비스 방안을 제안한 부분은 협력을 시도하는 기관의 참고자료로 활용될 수 있다는 점에서 의의가 있다.

Korean Universities are systematically unable to look back on themselves compared to their status in modern society and their growth so far. This is because there is a lack of awareness about the operation of university archives and management of university records. Although the Act on the Management of Public Records has been revised and the number of university archives has increased, there are still regrets in the activation part such as the perception of university members and the role of university archives is still insufficient. In this reality, the researcher comprehensively considers many things that include characteristics of university archives resources, cases of pursuing synergy through cooperation between various fields and industries in modern society, and the necessity of reorganizing the university’s internal organization reflecting social issues related to universities. As a result, the researcher decide that the study on ways to activate university archives is necessary.
Accordingly, the purpose of this research is to propose a plan to invigorate the university archives through cooperation between the university archives and organizations within the university. The detailed research goals are as follows. The first goal is to analyze possibilities of collaboration between the university archives and internal organizations of university by examining various cases. Second, it is to present a plan for cooperation between university archives and organizations within universities by business fields. Third, it is to propose a solution about establishing a cooperative system for university archives and organizations within universities and expanding the service.
To achieve these goals, this study analyzes the research related to the University Archives, the case of cooperation between the University Archives and the organization within the university, and the complex cultural spaces. The analysis of cooperative cases, such as collaboration with university archive, university library, university museum, university headquarter and student council, is divided into collection, computerization, space, and service fields. Through this analysis, it is possible to figure out what kind of cooperation projects the University Archives is conducting with the university’s internal organization in each fields and what effect it is getting. Also, by analyzing the convergence case of the complex cultural space and larchiveum, the spatial composition of the fused institution and the role of the Archive are found out. In addition, by comprehensively considering the current status of cooperation in Myongji University's university archives and the case of collaboration in Myongji University’s internal organizations, the possibility of cooperation in the university is identified.
Considering research related to university archives, analysis of cooperative cases, and the situation of Myongji University's university archives, it proposes ways to cooperate and revitalize the university archives and organizations in the university to maximize benefits and supplement disappointments. Cooperation plans for each business field to revitalize the university archives are as follows. In the field of collection, data exchange and cooperation should be stipulated in the regulations, and data collection activities should be actively carried out. In the area of computerization, the computerized part should be provided in the regulations and the online accessibility of users should be increased. In the field of space, university spaces should be efficiently utilized and complex spaces including commercial spaces, rest spaces, and makerspace should be pursued. In the service sector, services linked to user education in university libraries, a non-subject program or a required course at a university should be planned.
As a way to establish a cooperative system for each organization within universities, this study emphasized that university archives should actively approach, support, and form relationships with university’s internal organizations such as university library, university museum, student council, university headquarter. Furthermore, it suggested an extension service plan utilizing the existing programs, events, and functions of the university organization.

Since the contents proposed in this study are conducted based on the case of Myongji University, there is a limitation in that it is difficult to apply it to all university archives. However, further cooperation is taking place today, and the necessity and importance of collaboration is highlighted. So, it is meaningful in that it can be used as a reference material to organize various cases of cooperation between the university archives and university’s internal organizations, and to propose improvement plans and expansion service solutions with a focus on cooperation.
